Before you can use Outlook, you need to configure it to work with your email server. If you already have Outlook configured, you can open it and see its basic features. Outlook email client is laid out like most other email interfaces. You have menus at the top of the window, the left side of the interface contains your folders and inbox, and the center of the window is where you read and type your messages. Microsoft Outlook 2019 Lessons To use Smart Lookup, right-click a word or group of words in an email — it can be a new draft, a message you’ve received, or one you’ve already sent — and select Smart Lookup from the menu that appears. Everyone needs to meet people or be at a certain place at a specific time. For busier people, your scheduled appointments may become so numerous and varied that keeping track of your time can be cumbersome. Taking Notes and Customizing Outlook

Outlook is so full of features it can be tough to remember where to find commands you haven’t used in a while. Microsoft has made it easier with a new feature in Outlook 2016 and 2019 called Tell Me, which puts even buried tools you rarely use in easy reach.

  • Hover your mouse over it, and you get multiple options for filtering your mail, including by Unread, Has Attachments, This Week, and others.
  • Gmail is Google’s email service, and it’s free unless you need corporate tools.
  • The Focused tab should have the most important messages, and the Other tab should have less important messages.
  • But for more complex ones, it’s worth using, because it’s much more efficient than hunting through the Ribbon to find a command.

To turn on Focused Inbox, select the View tab from the Ribbon, then click the Show Focused Inbox icon. From now on, you’ll have two tabs in your Inbox, Focused and Other. The Focused tab should have the most important messages, and the Other tab should have less important messages. If that’s not the case, you can manually move messages from one folder to the other and tell Focused Inbox to automatically filter them in that way in the future. Once you learn how to use Outlook’s note-taking feature, you can learn different keystroke shortcuts and how to customize Outlook further to serve your particular needs better. In this lesson, you’ll identify ways to create and modify notes.

You’ve started now, make sure you finish!
